OpusCapita Invoice Archive: Your Solution for Secure Long-Term Storage and Better Customer Service

We are excited to announce new key features and benefits of the OpusCapita Invoice Archive service, designed to provide reliable, up-to-date, and accessible long-term storage for your valuable invoice data.

Especially now for customers who use the service for sales invoices, the Invoice Archive is more than just a storage solution — it’s an application designed to help you serve your customers better. By utilizing a secure API connection, you can integrate the Invoice Archive into your own customer portal, enabling customers to search for and download their own invoices.

The Invoice Archive is available for OpusCapita Invoice Sending, Invoice Receiving, and IPA customers. Please note that the Invoice Archive solution is separately configured for OpusCapita customers and requires a service contract.

New Key Features:

Comprehensive Archiving

Both purchase and sales invoices are archived immediately after processing. Each invoice includes original data files and attachments. Additional converted formats can also be archived. For OC IPA customers, invoice audit trail data is included as well.

Automated and Secure Process

Invoices are automatically transferred to secure file and event storage immediately after processing is completed or rejected. Invoices with errors, cancelled, or processing statuses are not required to be archived.

Relayed Archive API

You can integrate the Invoice Archive directly into your customer portal, allowing customers to search and download their invoices directly from the archive storage.

Advanced Searching and Metadata

Each archived invoice includes a metadata file containing key values (invoice header data, processing dates, etc.), enabling efficient searching via both the user interface and API. As a new enhancement, most search fields now support conditional operators for more refined searches. In addition to standard fields, customers can request custom metadata fields for search purposes.

Robust & Scalable Storage

Data is archived in a scalable and secure cloud storage provided by Microsoft Azure Blob Storage in the Azure West Europe region. The storage has no physical limit and automatically increases as data volumes grow.

Data Integrity

Archived files are stored as read only and are not editable by customer users or OpusCapita admins. The UI or API does not allow any data tampering or uploading any new data to the archive storage.

Accessible and Exportable

Archived data is accessible to customer users based on role and company permissions. Files can be downloaded, and invoice images exported (multi-export) at any time via the user interface or the Relayed Archive API. Invoices can also be emailed directly from the Archive UI — for example, in response to a customer’s request for older invoices. Additionally, the entire archive can be exported at contract termination using the dedicated AzCopy tool.
